Important notice about AI processing: When you scan a receipt, your photo is processed by a third-party AI service to extract the data — currently Google (its Gemini service); we may use other AI providers, and this policy applies the same way to any of them. We cannot guarantee the privacy or security of data sent to these providers. See Section 3 and our AI Data Processing Notice for details.

This Privacy Policy describes how Bulk Receipt Scanner (operated by Zyzyva LLC, referred to as "we," "us," or "our") collects, uses, and shares your information when you use our receipt scanning and management services.

1. Information We Collect

  • Account Information: Your email address (for magic-link sign-in, or from Google/Apple if you sign in with them).
  • Receipt Images: The photos of receipts you upload for scanning.
  • Extracted Receipt Data: Information read from your receipts — vendor, date, subtotal, tax, total, payment method, line items, and similar fields.
  • Payment Information: Handled by our payment processor (Square). We store only a customer reference ID and your subscription status — never your full card details.
  • Usage & Device Information: How you interact with the service, plus your browser type, IP address, and device identifiers.
  • Referral Information: If you arrive through an affiliate's referral link, the code identifying that affiliate — tied to your account when you register.

2. How We Use Your Information

  • Authenticate you (magic-link email, or Google/Apple sign-in)
  • Provide and maintain the receipt scanning and management service
  • Process receipt images through third-party AI services to extract the data
  • Process subscription payments through Square
  • Send you sign-in links and important service notifications
  • Generate your CSV exports (QuickBooks, generic, and line-item formats)
  • Send receipts to QuickBooks Online when you connect it and choose to send them

3. Information Sharing

3.1 Service Providers

We share information with third parties that perform services on our behalf:

  • Payment Processor: Square, for subscription billing.
  • Email Service: To send sign-in and notification emails.
  • Hosting & Storage Provider: To run the app and store your receipt images securely.
  • AI Providers: To extract data from your receipt images (see Section 3.3) — currently Google (its Gemini service); we may use other AI providers, and this policy applies the same way to any of them.
  • QuickBooks Integration: If you connect your QuickBooks Online account, we share the receipts you choose to send with Intuit (see Section 3.4).
  • Advertising Partners: Google and Meta, to show our ads to people who have visited our site — only if we turn on advertising, which is not active today (see Section 3.5).

3.2 Team Workspaces

If you scan receipts into a team workspace, those receipts — and the fact that your account scanned them — are visible to that team's administrator. This attribution is how a team's shared receipts are organized and exported.

3.3 AI Processing Services — Important Limitations

Please note:

When you scan a receipt, we send the image to a third-party AI service for processing — currently Google (its Gemini service); we may use other AI providers, and this policy applies the same way to any of them. Once sent to that provider:

  • We have no control over how they handle your data
  • We cannot guarantee privacy or confidentiality
  • Your data may be used to improve their models
  • We are not responsible for their data practices

Only scan receipts you are comfortable sending to a third-party AI service.

3.4 QuickBooks Online Integration

If you connect your QuickBooks Online account, receipts you choose to send are shared with Intuit (QuickBooks Online) — never automatically, never for free-tier users (the integration is a paid-plan feature), and only for the specific receipts you send after authorizing the connection.

What we share: the receipt's extracted details (vendor, date, amounts, line items, category) and, when a stored image exists, the receipt photo — attached to the expense record we create in your QuickBooks company.

Once sent, that data lives in your QuickBooks books under Intuit's own terms and privacy policy — we cannot delete it from your QuickBooks account on your behalf. Disconnecting QuickBooks stops future sends immediately; it does not recall receipts already sent.

3.5 Advertising Retargeting Pixels

We may use advertising pixels from Google and Meta (Facebook/Instagram) to show our ads to people who have visited our site. They are not active today, and load only if we turn on advertising; this section describes how they behave when they do. When active, they load on our own pages — never on your scanned receipt data — and collect page visits and a cookie or device identifier; they never receive your receipt contents, extracted data, or account information.

If your browser sends the Global Privacy Control (GPC) signal, neither pixel loads for that visit. You can also opt out of personalized advertising directly with each vendor: Google Ads Settings and Meta Ad Preferences .

3.6 Affiliate Referrals

If an affiliate's referral link brought you here, we record which affiliate referred you and tie it to your account when you register, so we can credit the affiliate for the referrals they bring us. Affiliates never see your identity, your email, your receipts, or any personal detail — only a count of how many accounts their link referred.

4. Your Rights and Choices

  • Access and update your information
  • Delete your account and data
  • Export your receipts in CSV format
  • Opt out of non-essential communications

5. Data Retention

5.1 Receipt Data

Your extracted receipt data (vendors, dates, amounts, line items) and your CSV exports are retained while your account is active. Receipt data is never removed by our automatic image cleanup described below — that cleanup only ever affects stored image files, not the underlying records.

5.2 Receipt Images

  • Receipt images are stored securely and linked to your receipts so you can refer back to them.
  • Free accounts: images are retained for at least 90 days from upload.
  • Paying customers: images are retained for the life of your subscription plus at least 12 months after it ends, so they remain available as records (for example, for tax or audit purposes). Receipts scanned into a team workspace are governed by the team's subscription.
  • Important: Third-party AI providers may retain their own copies according to their policies, which we do not control.

5.3 Account Deletion

You can delete your own account and data yourself, without contacting us. If you'd rather not do it yourself, email [email protected] and we'll process the request for you. Subscription and billing records may be retained as required for our records and legal obligations.

5.4 Payment Processing

All payments are processed by Square. We store only your subscription status and references to Square's system. Square retains payment details according to its own policies and legal requirements.

6. Data Security

We implement reasonable security measures to protect your information. However, no method of transmission over the Internet is 100% secure.
