An Expensify alternative for people with a pile of receipts

Expensify is built around employee expense reports: someone spends, submits a report, a manager approves it, and the company reimburses them. If that is your workflow, it is a strong choice.

Bulk Receipt Scanner is built for a different job: getting a pile of receipts into your books quickly and accurately. Spread a stack out, take one photo, and every receipt comes back as its own record with its line items, ready for QuickBooks or a spreadsheet.

The short version

Choose Expensify if your team submits expenses for approval and reimbursement, you use corporate cards, or you need multi-step approval workflows.

Choose Bulk Receipt Scanner if you, your bookkeeper or a small crew need to clear a stack of receipts into QuickBooks or a spreadsheet, with every line item, without building expense reports.

Where Expensify is the better fit

  • Approvals and reimbursement. Expensify routes reports to approvers and reimburses employees; we don't do approvals or payments.
  • Corporate cards. Expensify has its own card.
  • A free account for one person's receipts. Expensify's personal account includes unlimited SmartScans at no cost. If you snap one receipt at a time and don't need line items or QuickBooks expenses, that is hard to beat.

Where Bulk Receipt Scanner is the better fit

  • Backlogs. A month of receipts is a few photos, not a few dozen scans.
  • Line items. Every item on every receipt, for job costing, mixed business and personal receipts, or seeing what was actually bought.
  • Bookkeeping, not reporting. Receipts go straight into QuickBooks Online as expenses with the image attached, in the right account, split by line when a receipt covers more than one category.
  • Arithmetic you can trust. Each receipt is checked, and anything that doesn't add up is flagged instead of silently entered.

Questions

Can I switch from Expensify?

There's nothing to migrate: scan your next stack of receipts here. Receipts already in Expensify stay there.

Does Bulk Receipt Scanner do expense reports or reimbursement?

No. It turns receipts into records in your books or a spreadsheet. If you need approvals and reimbursement, Expensify or a similar tool fits better.

Is it cheaper than Expensify?

It depends on your setup. For one person, Expensify's free personal account costs nothing; our Individual plan is $19/month and adds bulk scanning, line items and sending straight into QuickBooks. For a team, Expensify charges per member and we charge $99/month for up to 10 people.

Can my bookkeeper use it for clients?

Yes, and there's a partner program for bookkeepers and CPAs.
